About the Opportunity

The Finance & Operations team exists to ensure that B Lab Global’s resources, organizational operations, and risk management practices enable us to achieve our mission. The department comprises 2 core teams: Finance and Operations & Risk. The Finance team is responsible for development, management, and oversight of B Lab Global’s and currently B Lab US & Canada resources, including sound fiscal policies and practices, annual budgets, asset management, grant budgeting and reporting, and financial analyses to support decision-making. The Finance team creates tools and supports department heads, program managers, and leaders to make decisions about the application of resources to their work.

We are looking for a unique individual to join our fast-paced and dynamic Finance team. The Senior Accountant and Payroll Specialist will not only be responsible for payroll processing, but also forecasting and financially analyzing compensation at B Lab.  This critical information will be used in collaborating with our Strategic Growth team on the generation of grant proposals, as well as working alongside our Financial Analyst in forecasting cash flows.

Core Responsibilities 

Payroll Processing [35%]

  • Working with the People & Culture (P&C) team, maintains and reviews the payroll processing system (UKG) for the timely and accurate processing of payroll transactions including salaries, timesheets, benefits, taxes, deductions, and garnishments
  • Processes US-based bi-weekly payrolls timely and accurately; ensures processing of payroll updates including new hires, terminations, changes to pay rates, and deduction changes…etc.
  • Reviews the accuracy and completeness of payroll data and follows up with P&C or employees on missing/ incorrect information
  • Ensures that all timesheets are submitted and approved by tracking down any missing timesheets in a timely manner prior to each pay period
  • Manages the payroll general email account to answer questions and requests from employees
  • Maintain relationship with 403(b) providers and ensure compliance with plan policies
  • Lead annual 403(b) audit and 5500 filing
  • Process bi-weekly payroll employee 403(b) contributions and employer match
  • Pulling Reporting from other non-US payroll systems

Payroll Tax & Compliance [10%]

  • Ensures compliance with federal, state, and local payroll, wages, and hour laws and best practices; studies existing and new legislation; enforces adherence to requirements; and advises the Assistant Director of Finance Operations on needed actions.
  • Handles the registration process for state withholding tax ID/account, state unemployment insurance tax ID/account, and other local tax accounts.
  • Ensures that the payroll agency (UKG) files monthly and quarterly reports timely and accurately to prevent penalties and interests.
  • Update/maintain HRIS System with proper tax numbers and deletions 
  • Manages year-end process including W2s and other tax forms.

Financial & Grant Accounting [55%] 

  • Maintain organization staffing table
  • Working with the Financial Analyst ensures the allocation of coding and effort percentages across programs is up to date.
  • Collaborate with program team members to apply payroll allocations to grant proposals and report to donors based on actuals.
  • Prepare compensation forecasting.
  • Oversee preparation of compensation budget and monthly projections.

About you

  • 4 to 6 years of accounting experience with 1 to 3 years of that experience to include payroll processing experience
  • Experience within the non-profit sector preferred
  • Strong knowledge of payroll and accounting systems (UKG and Sage Intacct/ERP preferred)
  • Proactive and creative problem solver with demonstrable ability to identify problems and determine the appropriate course of action within department policies and procedures 
  • Track record of collaborating with stakeholders across departments with some experience with remote collaboration
  • Ability to plan and manage simultaneous projects, collaborate with cross-functional teams as necessary to deliver results on-time and on-budget for a diverse set of stakeholders
  • Strong analytical skills with a track record of managing a project across departments and with a diverse set of stakeholders
  • Process oriented with the willingness to contribute feedback to drive efficiency 
  • Client service  focused
  • Keen attention to detail
  • A clear, concise communicator
  • Comfort with working in a remote-first environment with a geographically distributed team

While not required the following would be a plus:

  • Has experience with the following tools or comparable tools: Google Suite, Asana, Slack, Zoom, Salesforce

  • Exudes empathy, self awareness, and curiosity

Compensation Details

B Lab has a compensation plan that includes:

  • An annual salary in the range of $56,500 – $60,000
  • Excellent health benefits package including access to medical, vision and dental coverage
  • Paid time off for vacation – in your first year, you’ll start with 3 weeks (prorated in a to your start date)
  • 403(b) with a match of up to 3%
  • Unlimited sick and personal time – if you need it, use it
  • After your first year of employment, 40 hours paid time off for community service; paid parental leave; and time and budget for your professional development (we assess this PD budget annually)
