Administrative Assistant

Position Type: Regular, Full Time, Non Exempt/Hourly

Reports to: Executive Director

Location: Can be based anywhere in the Southeast Regions of the United States (AL, AR, LA, FL, GA, MS, NC, SC, TN, and VA). Must have reliable, high-speed connectivity (phone/internet) and professional workspace (e.g., home office or other quiet, clean space) required. Approximate work hours: 9 am-5 pm Eastern or Central Standard Time (flexible); 40 hours/week

Compensation: $48,000-$52,000 annually with a robust benefits package that includes 100% employer covered health, dental, and vision insurance for you and your dependents, employer sponsored policies for disability and life insurance, a generous flexible leave policy, remote work allowance, and a 401(k) program with an automatic employer contribution. 

POSITION OVERVIEW

In this role, the Administrative Assistant will be responsible for supporting operations, coordinating the activities of the Leadership Team and Steering Committee, providing technical and administrative support for our remote working environment, and program coordination support for member engagement processes and communications.

RESPONSIBILITIES

Administrative and Communications Support

  • Support the Leadership Team with coordination needs for network work flows external to members and internal to staff.
  • Troubleshoot and address emerging issues around use of technical tools and resources; supporting members when needed.
  • Schedule calls, take meeting minutes, arrange travel, coordinate calendars for staff, and receive and address emergent administrative support requests. 
  • Support ordering of office supplies and materials, including remote office needs.
  • Provide support for any logistics needed for staff activities.
  • Support the creation of administrative documents.
  • Assist in the writing of professional emails and other resources for SSDN staff and/or member communication. 
  • Support document management and maintaining the electronic filing structure (in Google Drive). 
  • Support the network Leadership Team and Network Engagement Manager with general communications needs, such as website updates, blog posts, social media posts, development of marketing materials, and other communications collateral as assigned. 
  • Support onboarding of staff, with direction from Human Resources Team and SSDN’s Leadership Team. 
  • Support planning and logistical needs for staff retreats and other annual staff-support activities.

Membership and Engagement Support

  • Schedule meetings, conference calls, and webinars for members and staff.
  • Assist with running webinars and conference calls to ensure smooth operation.
  • Respond to member and external requests as needed, and support internal and external communications.
  • Support research on member prospects, demographics, and other data related to membership as needed.
  • Support management and updates of SSDN’s  membership database using Salesforce.
  • Support membership dues invoicing and delivery to members in coordination with USDN staff and SSDN’s Network Engagement Manager.
  • Compile data and resources for members; including support for the management of Member Resources Library in Google Drive.
  • Monitor, respond to, share and collect content on SSDN’s Member Listserv and files in SSDN’s Member Resource Library.
  • Posts content on USDN.org.
  • Support planning and logistical needs for SSDN’s Annual Meeting and any other in-person member meetings, with guidance from the Leadership Team and Network Engagement Manager.
  • Other duties as assigned or requested. 

QUALIFICATIONS: 

While no single candidate will embody all the qualifications below, an ideal candidate would possess many of the below experiences and skill sets.

Required Experience:

  • This is an entry level position and we are looking for someone with 1-3 years of related experience, ideally in nonprofit administration or support roles. 
  • Strong interest and/or experience in local government or the field of sustainability. 
  • Must be proficient in Word, Excel, PowerPoint, Google Suite, Zoom. Experience with Salesforce is a plus.
  • An Associates or Bachelor’s Degree is a plus.
