Manager of Events and Promotions

The Chesapeake Bay Foundation seeks a Manager of Events and Promotions to be based at its Philip Merrill Environmental Center headquarters located in Annapolis, MD.

 

THE CHESAPEAKE BAY FOUNDATION

The Chesapeake Bay Foundation (CBF) is the largest regional non-profit conservation organization working solely to save the Bay. Established in 1967, CBF has a staff of approximately 185 employees working in offices in Annapolis Maryland; Richmond and VA Beach, Virginia; Harrisburg, Pennsylvania; and Washington, D.C., and in 15 field education program locations. Our staff and volunteer corps work throughout the region educating students and adults, advocating for clean water polices, restoring waterways, and litigating when necessary. CBF’s headquarters office in Annapolis, MD is the Philip Merrill Environmental Center, the world’s first U.S. Green Build Council’s LEED platinum building. CONTEXT OF THE POSITION

The Manager of Events & Promotions develops and executes all events, from large-scale celebration and fundraising events to intimate donor receptions. This position develops and manages promotional and sponsorship relationships with corporate partners and plays a key role in developing and reaching associated fundraising goals.

Essential functions include:

Events Management

  • Assists in strategically developing events that support department goals
  • Plans and manages all logistics of development focused events
  • Creates, manages and communicates detailed event timelines
  • Manages site coordination, technical support, audio-visual services, security, fire regulation compliance, etc.
  • Coordinates with facilities managers, outside vendors, and CBF staff to ensure liability issues are addressed and minimized
  • Hires and supervises event contractors as appropriate, ensuring appropriate bidding and contracting
  • Develops and maintains business relationships with existing and prospective vendors
  • Manages marketing material development, invitation lists, etc.
  • Provides on-site event support such as registration, greeting vendors, caterers, etc.
  • Generates event invoices and creates and tracks acknowledgements as necessary
  • Manages process associated with securing sponsorships, working with other development staff to secure and renew sponsorships and manages and maintains relationships with sponsors, cultivating and stewarding the relationship.
  • Tracks expenses and revenue, serving as the manager of the event budgets
  • Closes out each event appropriately, evaluating each event for return on investment, and undertaking a cost-benefit analysis
  • Manages volunteers, interns and temporary staff, as necessary, to support events
  • Provides consultative services to other CBF departments on CBF-wide events when needed and educates and supports various departments and state offices with respect to event guidelines Coordination of Promotional Opportunities
  • Serves as the point of contact for corporate promotions
  • Vets opportunities for benefit events and promotional relationships and makes recommendations on potential opportunities
  • Manages all point of sale and licensing contracts, ensuring CBF is in line with all state, federal and internal regulations and guidelines
  • Assists with the implementation of partner events that promote the organization, realize significant outreach and education, or raise revenue
  • Attends promotional events, when necessary
  • Manages and maintains relationships with key corporate partners, cultivating and stewarding the relationship
  • Provides effective guidance to other development staff providing support to the program

PROFESSIONAL EXPERIENCE AND QUALIFICATIONS

Bachelor’s degree in related field or appropriate experience is required with two to three years of event experience. Candidate has excellent interpersonal skills and is highly organized, flexible and fast paced. Attention to detail and excellent written and oral communication skills are essential. Ability to manage budgets, multiple projects and daily deadlines. Strong delegation and supervisory skills. Experience in negotiating and reviewing partner agreements. Proficiency in computer systems and MS Office software required. Working knowledge of Adobe InDesign. Nonprofit experience a plus. Knowledge of development department functions, Raiser’s Edge or similar software, and CBF’s mission and work preferable.
