The Climate Reality Project, a nonprofit organization founded by former Vice President Al Gore, is offering a full-time, salary non-exempt position to work with the People and Culture Department.

 

Our Washington, DC office is presently closed due to the COVID-19 health emergency. Therefore, we will accept remote applicants who work/reside in the following states:

CA, CO, DC, FL, GA, IL, MD, ME, NC, NY, OR, PA, TN, and VA.

Relocating to Washington, DC will be required when our Washington, DC office safely re-opens post-pandemic (exact timing TBD).

 

Successful applicants must be at least 18 years of age and will be asked to show proof that they can legally work in the United States.

 

General Overview:  The People and Human Resources Assistant works closely with the People and Human Resources Manager and the Director of People to coordinate and support human resources activities. The HR team stewards culture, talent and organizational effectiveness.  This position requires a high level of organization, with the ability to prioritize and manage multiple tasks in order to meet deadlines.  Whether we are recruiting team members, developing talent, refining core programs, or curating culture, we care passionately about our people.

 

Duties and Responsibilities

Specific duties and responsibilities include, but are not limited to the following:

 

Payroll

  • Manage and maintain all personnel records and required documents in compliance with local, state and federal laws, as well as internal record retention policies, including the employee database with the ADP WFN system
  • Key new employee data into the ADP Workforce Now portal
  • Train new hires on how to use the ADP Workforce Now platform
  • Maintain payroll recordkeeping by loading pay period reports into the companies shared drive
  • Proactively manage timecard deadlines, ensuring accuracy and required approvals
  • Liaison for all state and local agencies related to employee state withholdings, local taxes, SUI and unemployment filings
  • Manage ACA vendor for annual compliance with ACA reporting and timely distribution and filing of forms 1095
  • Manage the annual W2 filing, administration and distribution
  • Assist People and Human Resources Manager and the Finance Department by generating and providing ad-hoc reports for the annual audit, and as requested
  • Keep abreast with all federal, state and local requirements related to tax filing, COVID-19 policies and mandates, and general payroll trends

 

Benefits

  • Help administer Flexible Spending Accounts, Retirement Plan, COBRA, health and life insurance, and transit subsidy program
  • Process accurate and timely reconciliation and payment of monthly medical, dental, vision and life insurance policy invoices
  • Act as point of contact to staff for any payroll and/or benefits related questions including managing the benefits@ mailbox on a daily basis
  • Respond to employee’s benefit questions in a timely manner, to include assisting with resolution of problems regarding access to or payment of benefits, assisting employees with paperwork related to filing medical claims, and processes enrollment forms and change requests
  • Assist with communication of benefit programs changes and updates
  • Maintain accurate and up to date benefits information on the employee shared drive
  • Ensure all payroll training materials are up to date and stored on the shared drive

 

Performance Management

  • Schedule and coordinate new employee orientations
  • Partner with the People and Human Resources Manager to ensure new hires have a clear understanding of all policies and procedures in the employee handbook, and where to go for questions
  • Assist in the management of the Intern-Mentor program, including managing the internships@ mailbox and applications
  • Manage the Fun Department, which helps to create company social events which includes maintaining a calendar of key dates, employee anniversaries, milestones etc. in order to celebrate employees

 

General

  • Update and maintain organizational chart
  • Update and maintain the company contact list
  • Distribute, track, and file all employment paperwork, ensuring new hire compliance
  • Other duties as assigned

 

Qualifications

  • Bachelor’s degree
  • 1-3 years of multi-jurisdictional payroll processing experience, preferably on the ADP platform
  • 1-3 years of benefits administration/coordination experience
  • Passion for learning and developing HR functions
  • Basic knowledge of HR laws and regulations
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Exemplary attention to detail
  • Ability to multi-task and shift priorities as needed
  • Self-motivated
  • Proven critical thinking skills, ability to analyze and interpret data
  • Creative thinker able to see big picture
  • Demonstrated client/customer service focus
  • Discretion regarding sensitive employee and company information
  • Proficiency in MS Office, especially Excel and Word
  • Familiarity with Mac preferred but not required
