Job Description

The Opportunity.

The primary role of the Event Assistant is to execute public programming at Stevens-Coolidge House & Gardens, in North Andover MA. The position is part-time May through December, often on weekends, evenings and holidays. The Event Assistant is responsible for assisting with on-site execution of public programs and events, ranging from 12 to 200 people, in the Garden Gateway classroom or outdoors. Tasks may range from event set up and break down (moving tables and chairs), leading hikes and nature playgroups, overseeing concerts and garden parties (material set up, interacting with vendors, ensuring safety rules are followed), selling memberships and providing membership information to event attendees, and more. At all events and programs, the Event Assistant will educate, and encourage visitors to support The Trustees through a variety of outlets.

The successful candidate will have experience in program and event management. An open and collaborative approach is required, along with the willingness to work in conjunction with other field staff, committees, and volunteers. The Event Assistant will report to the Stevens-Coolidge House & Gardens Engagement Manager and will work in collaboration with colleagues at the Stevens-Coolidge to perform the tasks necessary to complete public programming goals on this property. They will also be expected to manage volunteers at events and programs.

In This Role You Will:

  • Assist Engagement Manager with event set up such as moving tables & chairs, decorating, providing Trustees marketing and educational material.

  • Supervise volunteers during each event.

  • Assist Engagement Manager to advertise and promote events through press releases, online postings, print materials, signs/banners, flyers, and social media 

  • Help maintain event attendance records, including financials and membership.

  • Provide exceptional customer service by answering questions, problem solving and directing visitors, as needed. 

  • Be familiar with, and enforce property rules and regulations.

  • Keep event areas organized, clean, and orderly to deliver a positive visitor experience.

  • Perform opening and closing procedures during each shift. Use basic computer skills and have the ability to learn new systems, including logging hours using Paycom.

  • Communicate regularly with staff to report safety concerns, incidents, maintenance needs and program assessment.

  • Periodically lead hikes and nature playgroups at nearby Trustees properties Ward Reservation (Andover) and Weir Hill (North Andover)

  • Other duties as assigned with or without accommodation.

Qualifications:

• Outgoing, friendly, enthusiastic; enjoys working with the public including children and families.

• Candidate should be comfortable with public speaking and leading groups

• Responsible, committed with exceptional attention to detail and safety.

• Available to work weekends, holidays and occasional evenings.

• Articulate, confident and calm when confronted by uncooperative visitors and when handling emergencies.

• Interest in nature, outdoors, education and or events

• Ability to work unsupervised.

• CPR & First Aid certification, highly desirable.

Compensation and Benefits:

This is a seasonal, non-exempt, hourly paid position. This position is based at Stevens-Coolidge House & Gardens in North Andover, MA.
