Full-Time Program Associate

Job Description

The Sierra Fund (TSF) is seeking a Program Associate to support the program staff with program reporting, project management, and program administration. The position manages invoicing, reporting and record keeping systems for government and private foundation grants. They support tracking and management of project budgets. They also coordinate program meetings and other partnership meetings, including scheduling, agenda development, logistics, and meeting notes.

Salary and Benefits: $60,000-65,000 This is a full-time, exempt position; eligible for health insurance, sick/vacation accrual, paid holidays, and retirement contribution. TSF normal business hours are Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Location: This position is desired to be based in the Nevada City, CA office, although working remotely or some mix of in-office/remote may be considered.

Summary of Duties:

Program Grant Management Assistance

  • Prepare, coordinate team processes, and submit grant invoices to meet grant requirements and support program management.
  • Draft and coordinate team processes for submitting reports for state and federal grants, private foundation grants, and fee for service/contracts.
  • Maintain accurate and timely program record keeping to support grant reporting and program coordination.

Program Assistance and Project Coordination

  • Manage program meetings and other partnership meetings, including scheduling, agenda development, logistics, and meeting notes.
  • Support Network meeting and other program events as assigned (such as Technical Advisory Committees, Cal PBR Network), including agenda development, participant recruitment, logistics support, materials development and distributions, speaker coordination, and note taking.
  • Support program staff to organize tours, meetings, and
  • Enter and maintain records for program staff in TSF’s contact database (CRM) for partner organizations and individuals.
  • Support social media community media communications strategy on program activities to increase public awareness of TSF’s projects and issues.
  • Help create outreach materials for community engagement such as factsheets, reports, memos, webpages, emails, and social media.

Required Education and Experience:

Bachelor or Master degree in a relevant field (i.e. Environmental Science, Hydrology, English, Communications, or Journalism).

2 or more years relevant professional experience.

Required Qualifications:

  • Familiarity and understanding of public lands, water, and natural resource
  • Excellent written and verbal communication
  • Proficiency in writing progress
  • Proficiency in scheduling meetings and coordinating multiple staff on shared
  • Experience organizing events including supporting logistics, recruitment, and
  • Skilled in managing project-level budgets and creating spreadsheets to track a variety of income and/or tasks.
  • Experience maintaining filing
  • Ability to identify requirements and work within guidelines to complete reports and filings by hard deadlines.
  • Ability to update template letters/documents with data provided by
  • Experience inputting and updating data in CRMs or other
  • Experience compiling information, tracking records, and updating
  • Ability to organize and implement systems to compile and get out mass
  • Ability to take direction and follow through with recurring tasks with minimal
  • Comfort asking questions and seeking support from their supervisor to complete
  • Strong interpersonal verbal communication skills and comfort coordinating with staff
  • Interest and ability to learn new administrative skills, software and
  • Strong ability to follow directions and implement tasks within established internal
  • Highly proficient using Microsoft Word, Excel, and Adobe Acrobat
  • Computer proficiency in PC-based system and ability to learn new
  • Highly proficient in speaking, reading and writing complicated English to implement tasks noted above.

Desired Qualifications:

  • Experience using Gmail, Google Documents, Google Sheets, and
  • Knowledge of Sierra Nevada ecosystems and/or conservation issues, particularly forest management, watershed restoration, and mine remediation.

Supervisory Responsibility: This position does not have supervisory responsibilities for TSF staff. This position does include supervisory oversight at times over volunteers for special events.

Work Environment: This job operates in a professional office environment and/or your home office. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands; reach with hands and arms; and light lifting up to 35 lbs. is occasionally required.

Travel: Occasional out-of-the-area and overnight travel is expected.
