Description & Responsibilities
The Program Assistant role supports the Managing Director and the Accelerator Team on managing calendars, scheduling meetings, booking travel arrangements, and other assigned duties. We seek an energetic, highly motivated and organized, self-starter to play a critical administrative and programmatic support role, both internally and externally. This position reports to the Accelerator Managing Director. Ceres Accelerator program focuses on impacting sustainability in Capital Markets to address climate changes more efficiently. This role is a full-time position that is remote or may be based in Boston, MA. Candidate must be flexible to work with employees in all US time zones.

Specific duties include, but are not limited to, the following:

  • Provide administrative and logistical support to the Managing Director and other senior members of the team:
    • Act as a primary point of contact
    • Prioritize phone calls, correspondence, and meeting requests
    • Manage calendars and schedules
    • Ensure follow-through of specific activities and project completion
    • Conduct research, draft speaking points and/or presentations, and attend meetings
    • Book travel, schedule meetings, and draft trip itineraries
  • Support the Managing Director by attending meetings, establishing agendas for weekly team meetings, take notes, and disseminate notes, and complete follow-up tasks
  • Assist in development and management of team planning
  • Support the coordination, logistics, and management of team retreats
  • Assist team in roll out and distribution activities of key reports and special projects
  • Assist with planning, coordination, and logistics for Ceres annual conference, Investor Summit, and other organization-wide events
  • Process expense reports, reimbursements, and other finance-related administrative duties
  • Support engagements with external partners, funders, and special projects, as necessary
  • Travel to meetings and events

Qualifications

  • Previous administrative work experience in an office setting is required
  • Experience as assistant to a senior executive, preferred
  • Demonstrate an interest in working in nonprofit sectors and willingness to learn environmental or sustainability issues
  • Outstanding organizational and administrative skills
  • Demonstrated initiative and motivation, and ability to handle and prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Strong project management skills and ability to prioritize projects with a proven track record of successfully completing projects on time
  • Sound judgment and high level of integrity and professionalism, with an ability to manage confidential information and maintain discretion, diplomacy, and courtesy in all contacts
  • Strong organizational and time management skills, with keen attention to detail
  • Highly developed written and verbal communication skills
  • Demonstrate excellent research and problem-solving skills
  • Ability to work both independently and collaboratively as part of a team
  • Willingness to travel as needed
  • Desire to work in a not-for-profit, advocacy-focused organization
  • Proficient with Microsoft Office suite (Word, Excel, PowerPoint), other database applications, teleconference and webinar systems and standard e-mail computer applications
  • Interest and willingness to be trained on specific Ceres’ applications necessary for success: Salesforce, Bloomberg, and others

Compensation: The hiring salary is $46,000 to $47,000 and pairs with competitive benefits.
