Full-Time Operations Manager

Job Description

The Carbon Leadership Forum has an outstanding opportunity for an Operations Manager. This position will ensure that CLF can effectively manage its finances and administration to support the organization’s growing profile of projects and partnerships. They will be responsible for managing budgets, facilitating grant and contract proposals and reporting, and supporting administrative HR needs relating to hiring, staff expenses, travel and more.

This position requires considerable attention to detail and experience in bookkeeping, financial reporting, and contract management.

Duties & Responsibilities:

Finance and Budget Administration

  • Manage invoicing and tracking of CLF philanthropic and earned income
  • Develop and maintain reports to regularly monitor current and projected financial strengths and needs of the CLF for internal management and projections as well as grant reporting requirements.
  • Coordinate with the College of the Built Environment’s finance team to track CLF Staff salary budget allocations, grant budgets, etc.
  • Support diversification of funding streams, including the submission of grants and other funding proposals to major foundations, government agencies and other funders
  • Participate in the Leadership team’s fiscal planning and help inform budgetary decisions
  • Process reimbursements and Procurement card transactions and reconcile purchases to correct budgets
  • Prepare finance, travel, and purchasing forms in a timely manner

Human Resources

  • Coordinate, oversee and support all CLF hiring processes from job posting to interviews to onboarding
  • Coordinate review processes of staff
  • Communicate designated HR information to staff employees and help ensure compliance with all applicable University, state, and federal employment rules and regulations
  • Serve as CLF’s liaison to the College of the Built Environment’s Human Resources team
  • Serve as back up time and absence approver in Workday for staff reporting work hours

Operations and Administration

  • Manage CLF’s info email account and direct correspondence to the appropriate staff members as needed
  • Schedule meetings between CLF staff and/ or CLF partners
  • Manage logistics for staff connection events and other convenings (e.g. staff retreat)

Qualifications:

  • Bachelor’s degree in Business, finance or related field AND two to three years of job related experience.
  • Experience in administrative or financial leadership OR equivalent education/leadership experience
  • Experience working with diverse stakeholders and a commitment to climate justice
  • Demonstrated experience managing budgets and fiscal responsibilities
  • Ability to represent CLF in a professional manner with internal and external stakeholders and colleagues and work effectively across stakeholders
  • A high level of organization and keen attention to detail
  • Ability to balance multiple demands simultaneously under time constraints
  • Excellent oral and written communication skills in English
  • Ability to work both independently with limited supervision, and collaboratively as part of a team
  • Ability to exercise sound judgment and to address complex situations creatively
  • Skilled user of Microsoft Excel and related software to manage financial data
  • Proficiency with Microsoft Outlook, Word, PowerPoint, and google drive
  • Ability and interest in learning new software programsEquivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.Desired
  • Higher degree in an environmental or administration-related field
  • Experience with non-profit grant management
  • Four years of experience in administrative or financial leadership OR equivalent education/leadership experience
  • Skilled in using Workday, my Financial desktop, Ariba and other UW Administrative systems
  • Interest in green buildings and sustainability
  • Interest in acquiring research skills and knowledge
  • Administrative work experience in an academic, or environmental organization
