ABOUT MALT:

THE POSITION:

The Manager, Data Services is a full-time, exempt position with primary responsibility for MALT’s Raiser’s Edge database, including data integrity and management, database administration, reporting, analysis and optimization to support the organization’s fundraising and communications goals. This role is supported by a development associate and caging company that performs gift processing duties. It requires a good balance of technical database administration skills, the ability to understand data requests from development and communications staff, and independently translate them into queries and data analysis. This role reports to the Senior Manager, Donor Experience, works closely with the Director of Advancement, and manages the Development Associate. Working from home is possible with this role; occasional in-person office work in Point Reyes Station, CA is required.

ESSENTIAL DUTIES AND FUNCTIONS:

Database Management

  • Manage development, maintenance and updates to MALT’s Raiser’s Edge (RE)/NXT database and related policies, procedures, and processes
  • Manage RE/NXT integration and syncing with other database/programs, including the Engaging Networks digital marketing platform (experience welcome, but not required)
  • Administer database to ensure data is properly managed and to maintain data integrity
  • Coordinate with external vendors to troubleshoot data issues and perform database maintenance
  • Ensure that gift and biographical data are entered consistently, accurately, and in accordance with federal and state laws and nonprofit best practices

Gift Processing & Acknowledgement

  • Manage, troubleshoot and monitor lockbox/caging operation for offsite donation processing and data collection
  • Train, plan, coordinate and be responsible for all data entry, gift processing (checks, credit cards, online, monthly) and donor acknowledgments primarily to be done by Development Associate
  • Manage Development Associate including organizing training, prioritizing and supporting workflow
  • Ensure compliance with IRS and other relevant standards for recording, acknowledging, and receipting donations, including events, planned gifts, and other complex gift transactions
  • Coordinate with Finance department for monthly reconciliation and transaction processing

Queries, Reports and Analysis

  • Manage queries and list pulls for direct mail, online fundraising, events and communications
  • Conduct and support research in collaboration with staff to respond to data reporting needs and develop metrics/KPIs, custom dashboards and visually dynamic reporting.
  • Play lead role in partnership with other staff members to analyze data for evaluation and planning
  • Enhance the Development team’s donor and prospect data utilization
  • Collaborate with the Communications team on curation of marketing and community engagement data

Organizational Collaboration

  • Coordinate with the Operations team on the monthly and annual reconciliation process and gift processing and ensure data is consistent across systems
  • Collaborate with the Communications team on curation of marketing and community engagement data
  • Work with staff to ensure biographical and contact information is effectively managed data related to program
  • Provide operational data support across the organization
  • Develop and facilitate customized RE/NXT training to support core job functions for all staff
  • Proactively develop and support opportunities for cross-training, learning and professional development

QUALIFICATIONS:

  • Must have demonstrated ability to apply strategic focus while effectively managing daily operations and implementing change.
  • Should be data driven in making decisions, have strong analytic skills, and be able to build strong customer-centered teams.
  • Should be a self-starter with strong planning and organizational skills
  • Minimum three years’ experience with The Raiser’s Edge (preferred) or similar fundraising platforms or technologies (e.g. Salesforce, Donor Perfect), Blackbaud Certification a plus.
  • Proficiency in Windows, Microsoft Office (Word, Excel), electronic mail, electronic file transfer technology, data visualization tools and other data-related technologies.
  • Demonstrated experience working collaboratively with organizational leadership to determine information needs and data solutions.
  • Clear and consistent communicator.
  • Excellent operational and technical skills and a proven track record of customer/client service.
  • Extensive experience preparing data reports using strong attention to detail.
  • Strong interpersonal skills, ability to teach/train one-on-one and in small groups.
  • Detail oriented and able to organize strategically.
