Job Description

The Tempest team is hiring a new Executive Assistant to work with our Program Strategists on climate philanthropy. We’re looking for a new team member who is interested in climate change for this new program support role. Based in San Francisco, the position would work with our expert team of Program Strategists across major climate strategies: transportation, power sector, buildings, industry, climate finance and strategic communications.

  • Experienced Support – Manage and organize fast-paced set of program activities for multiple calendars, focused on supporting five program strategists, including calendar, travel and expense support
  • Team Player – Work and coordinate across the office to provide seamless support for the team on climate strategies and philanthropy
  • Excellent Communications Skills – Excellent verbal and written communication skills with attention to detail
  • Research and Writing Experience – Produce professional, accurate, and polished documents in a timely manner and conduct, synthesize and report on basic research on climate change
  • Project Management – Manage special projects and other responsibilities with the Program Strategists on grant activities at the forefront of mitigating climate change

Compensation & Benefits

We are looking for an excellent candidate with at least five years in a support role and/or in the climate and energy field to work in a fast-paced and multi-faceted environment. Compensation is competitive and commensurate with previous experience, ranging from $100,000 to $130,000 annually and is eligible for a 15% annual bonus. Excellent employer-paid benefits, including medical, dental and vision and a 2:1 matching retirement plan. This is a non-exempt position and requires presence in the San Francisco office on a full-time basis. A background check, full COVID-19 vaccination, and acceptance of a non-disclosure agreement will be required.

Key Responsibilities

  • Manage and organize fast-paced set of activities for multiple calendars, focused on supporting five Program Strategists, including: full calendar support for competing priorities (booking internal and external meetings, coordinating with partner organizations and grantees) and booking travel arrangements and other travel related expenses
  • Handle highly confidential and non-routine information with the highest levels of professional standards and attention to detail
  • Produce professional, accurate, and polished documents in a timely manner
  • Create and develop visual presentations as needed
  • Professionally and hospitably greet guests of Tempest Advisors, supporting guests as required
  • Manage logistics of staff and client meetings
  • Manage monthly expense reporting for the Tempest Advisors team
  • Provide backup support for Tempest team, including other executive assistant and liaise with suite-wide administrative staff and leadership to ensure seamless inter-office communications and share administrative duties as assigned
  • Maintain accurate and current electronic and paper files and keep the office organized and operating effectively and efficiently
  • Conduct, synthesize and report on basic research as required by the staff
  • Manage special projects and other duties as assigned

Qualifications

  • At least three years of executive assistant experience
  • Highest level of integrity, ethics and professionalism
  • Excellent judgment and professional maturity
  • Adept at managing multiple calendars encompassing very heavy scheduling with competing priorities and frequent changes
  • Ability to work independently, multi-task and prioritize to meet deadlines and complete projects
  • Ability to operate effectively in a fast-paced and multi-faceted environment, while maintaining discretion and confidentiality
  • Excellent organizational skills, including systems to track near-term priorities as well as long-term projects
  • Detail-oriented with excellent verbal and written communication skills
  • Team player – ability to work and coordinate with team members and assistants to provide seamless support for the team
  • Ability to operate effectively in response to different management and working styles
  • Committed to excellent, proactive service to the team
  • Proficiency with Microsoft Suite and Outlook required; familiarity with Salesforce record management, Expensify, and Bill.com preferred
