We are seeking a skilled and experienced Executive Assistant to join our dynamic team and provide comprehensive support to our Executive Director, Deputy Director, and Chief Operating Officer and to manage our 45+ person DC office. This is a unique opportunity for a dedicated professional to contribute to our mission and make a tangible difference in the world of clean transportation.

You Will:

  • Manage complex calendars and schedules for ICCT’s management team (Executive Director, Deputy Director, and Chief Operating Officer).
  • Coordinate and schedule meetings, both internally and externally, ensuring all logistics are organized and efficient.
  • Arrange domestic and international travel, including flights, accommodations, and prepare comprehensive trip itineraries.
  • Prepare meeting materials, draft correspondence, and create presentations for the Executive Director and Deputy Director.
  • Join internal and external meetings and take meeting notes, circulate action items, and diligently follow up on the status of assigned action items.
  • Manage the Executive Director and Deputy Director’s signature process and prepare their timesheets and expense reports.
  • Maintain confidential and sensitive information with the utmost professionalism.
  • Serve as the office manager for our Washington, DC office, ensuring smooth day-to-day operations.
  • Collaborate with DC staff to plan events and proactively implement policies and perks to improve office morale and employee well-being.
  • Report to ICCT’s Administrative Manager and work in daily collaboration with ICCT’s management team.

You Have:

  • Minimum of 3 years of experience as an Executive Assistant or in a similar high-level administrative support role.
  • Proven track record of scheduling meetings, managing complex calendars and coordinating travel arrangements with meticulous attention to detail.
  • Demonstrated written and verbal communication skills, including drafting professional correspondences, preparing polished presentations, and communicating effectively with internal and external parties.
  • Exceptional organizational skills, including the ability to maintain a clear and effective task tracker, and the ability to prioritize tasks effectively.
  • Experience in office management, including overseeing supplies and equipment procurement, budget management, and coordinating office events.
  • Proactive mindset, anticipating the needs of executives and taking initiative to ensure their efficiency and productivity.

Our Benefits

This full-time position will be based in our Washington, D.C. office. The annual salary for this position is $73,000. We offer an excellent benefits package including health insurance, paid vacation and family leave, a 401k plan with a generous 7% employer contribution, hybrid office/remote flexibilities, transportation subsidy, and other benefits.
